This Privacy Policy explains how Coopietown Hospitality LLC(“Coopietown,” “we,” “us,” or “our”), which operates The Palms at Pineway and coopietown.com, collects, uses, and shares information when you book a stay, use our digital guest guidebook, sign up for updates, or otherwise interact with us. 1. Information we collect

We collect information in the following ways:

  • Information you give us— your name, email address, phone number, mailing or billing address, reservation details, guest count, messages and inquiries, and any information you submit through our website (for example, our newsletter or “deals & updates” sign-up form).
  • Booking information — when you book directly, our booking software, Hospitable, collects your reservation and guest details and processes your payment. Payment card details are handled by our booking and payment providers, not stored by us.
  • Digital guest guidebook (Touchstay) — when you access our guidebook through Touchstay, your name and email address may be collected, along with information about how you use the guidebook.
  • Information collected automatically — like most websites, we use cookies and analytics (including Google Analytics 4) to collect your IP address, device and browser type, pages viewed, the site or ad that referred you, and how you interact with the site (such as engaging with our booking widget).

2. How we use your information — including for marketing

We use the information we collect to:

  • Take and manage reservations, process payments, and provide your stay and guest support;
  • Send you transactional messages about your booking (confirmations, check-in details, and similar);
  • Operate, secure, analyze, and improve our website and services.

Marketing and promotional use. We use the email addresses and contact details we collect — including emails collected through Touchstay and other digital software (such as our booking platform, digital guidebook, and website sign-up forms) — to send you marketing communications. This may include newsletters, special offers, discounts, seasonal availability, direct-booking promotions, and news about the property.

We also use this information for digital advertising and marketing analytics, which may include: building and targeting marketing audiences; retargeting or remarketing ads to people who have visited our site or expressed interest; creating similar (“lookalike”) audiences; and measuring the performance and return on our advertising through platforms such as Google Analytics and Google Ads.

3. Your marketing choices

You can opt out of marketing emails at any time by using the “unsubscribe” link in any marketing message, or by emailing q@coopietown.comwith the subject “Unsubscribe.” Opting out of marketing will not stop essential, transactional messages relating to a booking you have made.

4. Cookies & analytics

We use cookies and similar technologies, including Google Analytics 4, to understand traffic and conversions and to improve our marketing. You can review or change your cookie choices at any time using the “Cookie settings” link in our website footer, or control cookies through your browser settings. You can also opt out of Google Analytics using Google’s browser add-on and manage ad personalization in your Google Ad Settings.

5. How we share information

We do not sell your personal information for money. We share information with service providers who help us run our business and marketing, including:

  • Hospitable — direct-booking, reservation management, and payment processing;
  • Touchstay — our digital guest guidebook;
  • Google — website analytics and advertising;
  • Email and marketing tools we use to send and measure communications.

These providers process information on our behalf and/or under their own privacy policies. Some digital-advertising activity (such as retargeting) may be considered a “sale” or “sharing” of personal information under certain U.S. state privacy laws; you may opt out as described in this policy. We may also disclose information when required by law, or to enforce our agreements or protect the rights, property, and safety of our guests and business.

6. Data retention

We keep personal information for as long as needed to provide our services and for the purposes described in this policy, and thereafter as needed to comply with our legal obligations, resolve disputes, and enforce our agreements.

We use reasonable administrative and technical measures to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, and to opt out of marketing and targeted advertising.
